Job Description:

The Part Time Bookkeeper / Administrative Assistant performs all basic clerical and administrative office tasks for the company. He or she drafts letters and e-mails, answers calls, receives messages and packages, and manages his or her supervisor's calendar. In addition, the Bookkeeper / Administrative Assistant may provide support for computerized record management and in creating documents, reports, charts, graphs, and presentations.The ideal candidate has some post high school education or training and two years of progressively responsible experience in an administrative position. He or she must have a pleasant and courteous personality, strong administrative and organizational skills, strong phone and computer skills, and excellent communication and interpersonal skills. Advanced Excel skills are highly preferred. Flexible hoursCompensation based on skills and experience.RESPONSIBILITIESAccounts payable, by credit card, prints and obtains signatures for checks and distributes checks accordinglyResponds to all vendor inquiries, reconciles vendor statements and researches and corrects discrepanciesEnsures the accuracy of invoices and other accounting documents or recordsManages inbound communication, such as phone calls and messages, e-mails, and lettersProvides clerical support, such as typing, filing, copying, data entry, and record keepingAssists with recruiting, hiring, and training of new employeesReview and match invoices for appropriate documentation and approval prior to payment.QUALIFICATIONSBasic to Intermediate knowledge of QuickbooksHighly professional and dependableStrong computer skills, including Microsoft Office (Word, Excel, Outlook) and the internetAdvanced Excel skills preferred (creating spreadsheets, calculating formulas etc.)Excellent communication, customer service, and problem solving skills, including the ability to maintain composure under stressBookkeeping, Accounts Payables and Receivables experience requiredGreat at multitasking, able to prioritize tasks, a self starterSome experience with business applications, including payroll, scheduling, and accounting software preferred
