Performance Arts Theatre Specialist

Job Description:

To oversee the organizational aspects of all performance groups and recreational events. This includes but is not limited to:

  • Participating in the development of any stage production either at Bay Way or in the community.
    • Participate with the team in choosing the productions.
    • Scheduling casting for productions
    • Cover any existing vacancy needed at Bay Way for support.
    • Work with the team to choose the cast
    • Scheduling and overseeing rehearsals
    • Communicate all events to all team members on the calendar.
    • Generate memos and emails to communicate about the event with providers and families.
    • Work with PC’s to develop staffing schedule
    • Contacting and being the point person for venues. Ensure organization of the event and that we are able to support whatever the venue needs (sound, mics etc.) for a smooth running performance.
    • Order playbills and t-shirts
    • Scheduling performance groups.
    • Ensuring transportation is in place for performances (or delegate).
    • Researching options for hotel and travel if out of state.
    • Making arrangements for travel and lodging.
    • Ensure that check request are made to pay any outstanding balances to venue, partners, individuals that are paid for performance. Follow up on those requests
    • Ensure that check request are made to pay any travel or hotel accommodations. Follow up necessary.
    • Work with director on the financial ledger for fundraising dollars through performances.
    • Project Developer must know how to document in the ledger for deposits and withdrawals.
  • To support the box office
    • Ensure support of individuals working in the box office.
    • Ensure voice message is changed for each event.
    • Assist Bay Way with scheduling support for shows matinees and future weekend performances. (Maintenance, concessions, box office, marketing for shows etc.). Staff support necessary.
  • Recreation
    • All staff must report to Project Developer about planned recreation events.
    • Must keep a calendar
    • Large events must be overseen by Project Developer (Theater trips, Sports events ect.)
  • Respite
    • Develop the monthly calendar
    • Participate in the intake process
    • Schedule staff
    • Oversee and support needs of the program
    • Liaison between the program and the families.

  • 18 years of age or older
  • High School Diploma or equivalent
  • Minimum of two years’ experience in related field
  • Supervisory experience preferred
