Job DescriptionExecutive Assistant to Financial & Investment AdvisorOur mission at our firm is to help people live a life of greater confidence, choice, and financial freedom through strategic planning and unparalleled advice. The Executive Assistant role is one that our team relies on to meet this mission by executing new business processing and service requests as well as focusing on supporting client relationships for the financial planners.Compensation:$45,000 - $65,000 yearlyResponsibilities:Systems & Processes

  • Handle incoming and outgoing phone calls and mail
  • Call the Home Office or contact Advisor Services when needed
  • Create and maintain up-to-date electronic Client Folders following the client filing system.
  • Use professionalism and adhere to confidentiality compliance standards when communicating via email, phone, and virtual/in-person meetings.New Business
    • Complete and review investment and insurance applications for accuracy and completeness and submit applications in a timely manner.
    • Coordinate with the New Business Department to ensure any underwriting requirements (i.e., APS, paramedical examination, CMI, etc.) are ordered in a timely manner.
    • Perform application data entry into appropriate systems
    • Provide clients with weekly status updates on their application process--Keep a log of all client communication
    • New business tracking spreadsheets are to be updated as needed and should be ready to be reviewed at a moment's notice.
    • Produce/run sales illustrations for life and investment products.Service Work
      • Assist with Client requests and needed service work on policies and accounts.Administrative
        • Keep agents' securities and insurance licensing up to date
        • Coordinate agent's schedule for required annual compliance training
        • Coordinate agent schedules for client meetingsQualifications:Performance Expectations
          • Collaborate, communicate, and contribute to a team environment
          • Approach assignments with a strong drive to master and complete all tasks
          • Keep informed and up to date on new business procedures, regulations, and processes
          • Strong attention to detail
          • Strong organizational abilities
          • Strong interpersonal communication skills with a factual, straightforward, and direct communication style
          • Exhibit tact and diplomacy to maintain strong relationships in the workplace and with clients.Qualifications (Skills, Education, Training, and Registrations)
            • Minimum two-year Associate's Degree (Bachelor's Degree preferred) from an accredited university
            • Minimum three years of experience in related business
            • Excellent verbal and written communication skills
            • Computer proficiency (Microsoft Office Suite, OneNote, Zoom, Adobe PDF Editor, etc.)
            • Applied understanding of New Business process (ideal, but not required)
