Basic Job Functions
The Head Registrar is responsible for the management and
administration of Registration and Records across all NYBG
Education programs. NYBG Education encompasses programs for both
children and adults including the Everett Children's Adventure
Garden, the Edible Academy, the GreenSchool, Teacher Professional
Learning, Humanities Institute, School of Professional Horticulture
and Continuing Education.
In collaboration with the Director of Operations, the Head
Registrar implements and upholds a culture of excellence for all
educational services. This position has division-wide
responsibilities that require a high degree of professionalism,
confidentiality and efficiency, and a strong customer service
mentality. The Head Registrar supervises two full time registration
coordinators and 2-3 part-time seasonal staff who facilitate
programs and activities.
Additionally, this position supports, through actions and conduct,
NYBG's Inclusion, Diversity, Equity and Accessibility initiatives
and actively helps to build and maintain an inclusive
organizational culture throughout the institution.
Specific Duties & Responsibilities
- Works with Director of Operations to maintain student
records.
- Ensures adherence to registration policies and procedures to
ensure data integrity, including overseeing registration
software.
- Manages weekly, monthly and annual reporting for school and
family programs and maintains cancellation records and other
visitation records as needed.
- Collect, report and preform basic analysis of data including
program registrations, student enrollment and records, course
scheduling, and other metrics as needed.
- Implements program offerings and class schedules and if
applicable, ensures that all courses meet appropriate guidelines
set forth by governing agencies
- Oversees registration functions for all school, out-of-school
and teacher education programs and provides logistical information
to these audiences as needed including confirmations and
schedules.
- Provides logistical oversight and support for visiting school
programs. Works closely with Security, Visitor Services and
Education Program managers to facilitate these visits
- Liaises with the Bursar as needed on the process of sending
invoices and reconciliations
- The Head Registrar will serve as one the Education Division's
Family Educational Rights and Privacy Act, (FERPA) compliance
leads, along with the Director of Operations and Student
Success
- Prepares and distributes standard reports required for
compliance, as needed
- Other duties as needed.
Qualifications
- Bachelor's and Master's preferred
- Experience managing education and/or registration records in
higher education or non-profit setting
- 3 years of experience with Student Information Systems
- Strong computer skills, especially Excel, required
- CRM database experience preferred
- Strong problem-solving with team-work focused approach
- 2+ years supervisory experience
- Exceptional time management and organizational skills, sharp
attention to detail
- Ability to balance multiple projects in a fast-paced, dynamic
environment
- Ability to exercise discretion with confidential information,
support legal compliance academic process, and data security best
practices. Understanding of FERPA regulations a plus
- Familiarity with botany, horticulture, landscape design,
botanical illustration, or a
- related field preferred
- Available weekends and evenings, as needed, for special
events

Salary is commensurate with experience within the following range
$65,000 -$75,000.
